The Building and Grounds Committee shall oversee all activities associated with the operation, maintenance, safety and security of all buildings, grounds, furnishings and equipment owned by the Church, except items expressly the responsibility of another committee.
The Committee shall operate in coordination with the Facilities Supervisor, and as necessary shall inspect, review and make recommendations to the Rector and Vestry on matters relating to the Church’s buildings and facilities, building systems and equipment, codes and regulations.
The Committee shall:
- Review and become familiar with all building systems, utilities and maintenance requirements for all systems.
- In coordination with the Facilities Supervisor, ensure systematic planning and implementation of routine maintenance, repair and security of the Church's property.
- On a monthly basis, inspect the Church’s property and at least once per year, update its assets register, to include photographic and video documentation.
- Review the report of all defects and repair estimates submitted by the Facilities Supervisor, and make recommendations as necessary.
- Obtain three or more competitive bids for repairs, maintenance or any construction to the Church’s property, exceeding $5,000.
- Submit an Annual Budget Estimate to the Finance Committee for inclusion in the Annual Ministry Plan (Budget) of the Church.
- Make recommendations on insurance coverage, investment, rehabilitation, sale or rental of the property.
- Maintain a list of vendors for general and emergency repairs.
- Review annual contracts such as landscaping, HVAC, alarm, elevator, photocopiers, etcetera.
